We have no server that ever receives your recordings.

This page is in two parts: what the software does on your computer, and what this website does when you visit it. Both are short because there is little to describe.

Part 1 · the software

Session audio, transcripts and notes never leave your device.

Spokenroom performs speech recognition and note generation as local processes on your computer. There is no upload step in the product. We do not operate any server capable of receiving session audio, transcripts or notes, so there is no jurisdiction whose request could reach them and no business-associate relationship to document.

The complete list of outbound connections

  • Licence check — sends your licence key and an irreversible hash of your device, nothing else. Works offline for up to 30 days between checks. Can be disabled in Full Offline Mode.
  • Update check — requests a small manifest for your platform and version. Can be disabled.
  • Model download — only when you ask for a model. Files are fetched from our content delivery network and verified by checksum.

There is no analytics SDK and no telemetry. Crash reports are opt-in, anonymous, and contain a stack trace and nothing else. Full Offline Mode blocks every outbound connection and shows an indicator while it is on.

Data on your computer

Audio, transcripts and notes are stored in a folder you choose. By default the recording is overwritten and deleted when processing finishes. You can change the folder, keep audio, or point the folder at an encrypted volume. Deleting the folder deletes the data; we hold no copy.

Part 2 · this website

What spokenroom.com collects.

  • Waitlist — your email address, the page you signed up from, and an optional answer about other tools you have tried. Double opt-in: nothing is sent until you click the confirmation link. Every email has a one-click unsubscribe. We send at most one email a week and the emails contain no tracking pixels.
  • Founding Clinician application — the fields on the form (name, email, licence type, region, current tool and spend, operating system, memory) and whether we may quote you. Used only to run the programme and to understand what clinicians pay today.
  • Purchases — handled by our merchant of record, who collects payment details and tax information under their own privacy policy. We receive your email address, the product purchased and a transaction reference in order to issue your licence. We never see your card.
  • Bot protection — forms use Cloudflare Turnstile, which may process your IP address and browser characteristics to distinguish people from scripts.
  • Analytics — aggregate, cookie-free page statistics (page, referrer, country). No individual visitor profiles, no advertising identifiers, no cross-site tracking.
  • Fonts and assets — served from our own domain. We do not load fonts from Google or any third-party font service.

Retention and your rights

Waitlist entries are deleted on unsubscribe. Founding applications are kept for the life of the programme and deleted on request. Licence records are kept while the licence is valid and for seven years thereafter for tax purposes. You may request access to, correction of, or deletion of your data at any time by writing to [email protected].

Who we are

Spokenroom is operated by an independent developer. The registered operator name and address will be published on this page before checkout opens; until then, the waitlist and Founding Clinician programme are the only data we collect, and you can reach the operator at [email protected].
